MW-01 · Document intake

You don't need to keep retyping the same forms into your system.

I create software that reads the forms, statements, and paperwork your staff currently enter by hand. It fills in the fields and sends each one to a person for approval before anything goes into your system.

$15,000 to $50,000, fixed. It starts with the $2,500 diagnostic.

The work order

In
These are the documents your staff type in now, just as they come in: scans, PDFs, email attachments, or photos of paper forms.
Out
Each document is read, its fields are filled in, and the result waits in a review queue. After someone approves it, the information is entered into your existing system.
Signed off by
The person who currently does the typing will check and approve the entries, so they no longer need to retype them.
$15,000 to $50,000 · weeks set in the diagnostic Ongoing support after the build starts at $1,500 per month.

Common situations for this solution

This is useful in any office where the same types of documents arrive each week and someone copies them into another system by hand. For example, insurance agencies entering applications, accounting firms entering client statements, or law firms copying intake forms into their case systems.

The software handles the reading and typing, but your staff still make the important decisions. If the software is unsure about something, it flags it, and nothing is entered until someone approves it.

  • PostSecret · volunteer

Classified and moderated around 14,000 documents

I worked with Automattic's Special Projects team to design and build the pipeline behind search.postsecret.com. It tags each document in six categories and checks them against 27 moderation labels in three levels of severity. Sensitive documents are kept out of public view by default and go through a single review gate. Over 300 automated tests check every change. I did this as unpaid volunteer work, serving as the primary engineer.

Christmas Cheer project for Onslow Community Outreach

I'm currently working on a fixed-price project for a North Carolina nonprofit. The system lets families use entry screens with an assistant to confirm their household and answer application questions themselves.

  • StarCityGames · 2011 to 2012

    Concierge

I moved registration, check-in, and reporting from shared Google Docs into a single system. This allowed any staff member to help any player with their full record available. The system served about 100,000 attendees across events.

  • Foresite · 2012 to 2014

    Audit-log classification

I built tools and services to parse, normalize, and route network device audit logs. I also created review screens for analysts to classify them, reducing the manual work required.

When this solution is a good fit, and when it isn't

A good fit

  • You receive the same types of documents every week.
  • Someone on your team spends hours each week entering them into another system.
  • You can provide a batch of real examples for me to use in building and testing.

Not a fit

  • If your system already has an import feature for these documents, I'll let you know.
  • If you only have a few documents each month, manual typing may be more cost-effective than software.
  • If no one on your staff can manage the review queue, this solution may not be a good fit.

Describe a task your team does over and over. In two business days, I'll send you a one-page plan explaining what I would build, what it would require, and if it's worth doing.

If you have a sample document, email it to hello@mythicworks.net after you reach out. I'll make sure to match it with your request.
